PAID FEE CERTIFICATE

Create and Download:

  • You can create and download the certificates for fees that have been collected
  • Click on Certificate Builder option and select the desired options
    1. Academic Session: Select the appropriate session for which the paid fee certificates need to be displayed.
    2. Class, Section & Student Name: Select the appropriate class & section for which the paid fee certificates need to be displayed. You can also display certificated for a particular student by typing his/her name and selecting from the dropdown menu
    3. Include Payments Based On:
      1. All Payments – Results include certificates corresponding to all the payments made in the selected academic session for a student or class-section.
      2. Date Range – Results include certificates corresponding to the payments made in the below-selected date range for the selected academic session.
    4. Select Fee Types: For which the fee certificates are to be generated.
    5. Generated for: Father, Mother or Both. Their respective names are included in the fee certificate based on this selection.
    6. Display in Certificates:
      1. Academic Session – Irrespective of the selection made in ‘Include Payments based on’ all the certificates will show the academic session selected.
      2. Date Range – Irrespective of the selection made in ‘Include Payments based on’ all the certificates will show the date range for which the certificate is generated. In the case of ‘All Payments,’ it will display the date range of the entire academic session until the current date
      3. Both – Academic Session & Date Range both are displayed in the information included in the fee certificates.
    7. Purpose:
      1. The purpose added by you will appear in the bottom line of the certificate as part of the sentence, ‘This certificate is being issued on the request of the parent for the purpose of ____ u/s 80C of the income tax Act’.
      2. This is not a mandatory field and if left vacant, the above line will be auto-filled as: ‘This certificate is being issued on the request of the parent for the purpose of claiming exemption u/s 80C of the income tax Act’.
  • Fee certificates will be generated for the total amount of selected fee type that is paid between the specified start and end dates along with break-up for individual fee types.
  • Click on generate option against the name of any student to generate the paid fee certificate.
  • Paid fee certificates can also be generated in bulk by selecting the desired students and clicking on ‘Generate All’ at the bottom of the screen. All the certificates generated together will together form a batch in which they were generated.
  • The user will be notified in the notifications once the generation process is completed.
  • All the paid fee certificates which are generated till date can be downloaded by clicking the Fee Certificate History button located at the top right corner of the page.
  • The template and auto-numbering sequence of the certificate for each class will be as per the settings selected from the Fee Certificate Settings.

Dependency on other screens:

  • Student Fee Category: Paid fee certificate generated after the student fee category change using reallocation of the paid fee would be according to the new fee structure.
  • Cancel Fee: If a fee is cancelled, the paid fee certificate for that payment cannot be generated. However, if the certificate is generated before the fee cancellation, it can be downloaded from the Fee Certificate History screen.
  • Refund Fee: If a paid fee is refunded from Refund Fee screen, re-generating the same certificate will not include the refunded fee
  • Collect Fee:
    1. Total fee paid against each fee type instalment is always the actual fees paid by the Student (ie. total fee – any concession).
    2. The fine amount that is collected will not be displayed in the paid fee certificate.
    3. All the fee types collected during fee collection, except the ad-hoc fee is displayed in the paid fee certificate.

FEE DUE CERTIFICATE 

Generation of Fee Due Certificate:

  • The Fee Due Certificate will be generated for the student
    1. Who has not yet paid the fee for which the instalment end due date has crossed.
    2. Who has not yet paid their current instalment for which the end due date has not crossed.
    3. Who have any dues even for the future instalments, whose start dates are yet to approach.
  • You can generate the certificates for fee dues. Click on Certificate Builder option and select the options for all the fields.
  • By default, the academic session is set to Current Session. It can be changed to that of previous sessions to view the certificates of those sessions.
  • Generation of fee due certificates can be done instalment-wise, month-wise, till date or for a specified date range.
  • Remarks added for selected class-section will appear on the fee certificate that can be downloaded for each student.
  • After selecting all the fields and clicking on Submit, fee due certificates for all the students whose fees are due will be ready to generate.
  • Fee due certificates can also be generated in bulk by selecting the desired students and clicking on ‘Generate All’ at the bottom of the screen. All the certificates generated together will together form a batch (in which they were generated).
  • The user will be notified in the notifications once the generation process is completed.
  • All the fee due certificates which are generated till date can be downloaded by clicking the Fee Certificate History button located at the top right corner of the page.
  • The list of all fee defaulters can be viewed and a reminder can be sent to them by clicking on the Fee Defaulters button on the top right corner of the screen.

Dependency on other screens:

  • Student Fee Category:
    1. Fee due certificate for a student after student fee category change corresponds to the fee due structure of the new category.
    2. The old fee due certificate as per the old student fee category cannot be regenerated.
  • Concessions and Fines: If new concessions or fines are mapped for a student, the latest fee due certificate generated after mapping will include the same.
  • Collect Fee: Once a fee is collected from Collect Fee screen, its fee due certificate is no longer available to generate from this screen.
  • Cancel Fee: After any fee is cancelled, the fee due certificates can again be generated from this screen, as the dues are restored in the student fee dues after fee cancellation.
  • Refund Fee: Fee Due certificate will not reappear on the screen when a paid fee is refunded since refunding a paid fee does not mean restoring of student fee dues.
