How to record fee collection details?

> Fee > Collect Fee

  1. Search a student by admission number or name. Or, choose the desired Class and Section from the drop-down menu.
  2. Click the student’s name.

    INFO DISPLAYED

    • Total Fee (A) →  All fee dues + Ad hoc fees (collected)
    • Allocated Concession (B) → Concessions assigned (System Defined and Run Time)
    • Payable Fee (C=A-B) →  All fee dues (including concession) + Ad hoc fees (collected)
    • Paid Till Date(D) → Actual fee paid against the dues (including concession) + Ad hoc fees (collected)
    • Fee Due (Annual)(E=C-D) → Unpaid Fee dues for the entire year (including concession)
    • Fee Due (As On Date) →  Unpaid Fee dues (including concession) wherein due start date  current date
    • Fine Paid →  Late fine (collected) + Cheque Bounce Fine (collected)
    • Fine Due → Late fine (Fee Type wise / instalment-wise) which are accumulated but not collected + Cheque Bounce Fine which are accumulated but not collected
    • Previous session’s due → If the student has any pending fee from the previous year, then the overall pending fee amount (including fine and concession) would be shown in this header.
  3. Choose the required Academic Session at the top left corner of the screen. Payment can be recorded for past and future academic sessions.
  4. Select Payment Date.
    By default, the current date will be displayed on the screen. Payment can be recorded for a past date as well.
  5. Choose the Date Range or Month option from the drop-down menu above the Paying Now column to view the fee amounts accordingly.

    LABELS EXPLAINED

    • Date Range: Start Date and End Date must be selected to display the fee dues between those dates.
    • Month: All, Till Today and the months in which the due dates of instalments fall in, are displayed.
    • All: All the instalment amounts that are yet to be paid are displayed.
    • Till Date: The instalment amounts that are not yet paid as on the current date are displayed. It includes the overdue instalment amounts.
  6. Click the grey circle next to the relevant Fee Types to be collected. To select all the fee types displayed, click the circle next to the Fee Type column.
    The fine and concession applicable for the fee type(s) selected will be added along with the fee amount and displayed under the column To Pay.
  7. Click PROCEED.

    REMEMBER

    • Pending fees are shown in the order of due dates.
    • The fee amount listed under To Pay against each fee type is the pending fee, in case partial payment is made.
    • Fine configured as per the fine settings ( > Fee > Fine) cannot be added/increased during fee collection. However, it may be decreased.
    • Concession configured as per the concession settings (> Fee > Fee Concession) for each student cannot be decreased during fee collection. However, it may be increased for each student.
    • displays the receipts generated till date for a student.
    • The Enable Auto Fee Allocation switch next to    allows you to separately enter the fee amount that is collected. NLP then allocates the amount among the fee types in the order in which the Fee Types are sequenced in > Fee > Fee Collection > COLLECTION SETTINGS > Display and information.
    • Enable Auto Fee Allocation switch is turned on when you are restricted to
      • Select Fee Types to Pay,  on > Fee > Fee Collection > COLLECTION SETTINGS > Permissions.
      • Allow Partial Payments, on > Fee > Fee Collection > COLLECTION SETTINGS > Permissions.

  8. Select a mode of payment from the left side of the Payment Details List page.
    1. For CASH payment
      1. Enter the Manual Receipt No. for the transaction.
      2. Choose the Destination Bank from the drop-down menu.
      3. Give Remarks for the transaction, if needed.
      4. Click CONFIRM.

        NOTE
        You can CONFIRM the payment of the fees without entering the above details. Make sure the details are recorded.

    2. For CHEQUE payment
      1. Enter Cheque No.
      2. Enter the Cheque Amount.
      3. Enter the Cheque Date.
      4. Choose the Bank from which the amount has to be withdrawn.
      5. Enter the Branch name of the bank.
      6. Enter the Manual Receipt No.
      7. Choose the Destination Bank.
      8. Give Remarks for the transaction, if needed.
      9. Click CONFIRM.

        NOTE
        If the cheque amount is more than the fee payable, the remaining amount can be considered for further payment of the fee for the same student or any other student.

    3. For DD payment
      1. Enter DD Issued To.
      2. Enter DD No.
      3. Enter the DD Amount.
      4. Select the DD Date.
      5. Choose the Bank from which the amount has to be withdrawn.
      6. Enter the Branch name of the bank.
      7. Choose the Destination Bank.
      8. Enter the Manual Receipt No.
      9. Give Remarks for the transaction, if needed.
      10. Click CONFIRM.
    4. For CHALLAN payment
      1. Enter Challan No.
      2. Enter the Challan Date.
      3. Enter the Manual Receipt No.
      4. Choose the Destination Bank.
      5. Give Remarks for the transaction, if needed.
      6. Click CONFIRM.
    5. For ONLINE payment
      1. Enter a Transaction ID.
      2. Select a From Bank.
      3. Select a Manual Receipt No.
      4. Choose the Destination Bank.
      5. Give Remarks for the transaction, if needed.
      6. Click CONFIRM.
    6. For CREDIT/DEBIT CARD payment
      1. Enter the Transaction ID.
      2. Choose a From Bank.
      3. Enter the Manual Receipt No.
      4. Choose the Destination Bank.
      5. Give Remarks for the transaction, if needed.
      6. Click CONFIRM.

 

The payment success message is displayed. You can download or print the fee receipt generated.
